John runs a small staffing agency of 6 staff in Houston, TX.

All members of staff are consultants and, so before approaching Business Virtual Assist, John was overwhelmed with general administrative tasks rather than focusing on his business. He felt that he did not have the time or space to bring a full time administrator on board as he had been let down by temporary staff previously and did not have the time to train someone new again.

John had previously spent 3 hours per day dealing with non business critical and junk emails into the company. After working out guidelines with John on how Julie, his Virtual Assistant, should deal with John’s inbox, Julie took responsibility for filtering John’s incoming emails into urgent, non-urgent and junk. Urgent were flagged for Johns immediate attention, non urgent were passed to a consultant to resolve or were dealt with by Julie based on John’s guidelines, while junk was resolved by Julie.

John also needed support in regards to maintaining the candidate database upon which his consultants sourced candidates for placements. Neither John nor his consultants had sufficient time to contact previous candidates to check on current status in relation to availability, which meant the database was out of date and could not be used reliably.

Julie arranged with John to contact the candidates by email to obtain up to date Resumes along with details of availability which Julie then uploaded onto the database. Julie then arranged for all the remaining candidates that had not responded to the email to be contacted by phone for an update, again updating the database with the results. Julie then arranged for the database to be cleansed of those candidates that were un-contactable and so unlikely to still be available.

This measure ensured that the database became a reliable resource for John’s consultants to source candidates from and meant that consultants could source candidates from the internal database more often leading to savings in the usage of external Resume search services.

John also wanted some support in locating leads for his consultants in order for them to win new business. Whereas previously John and his consultants had been searching online for potential contacts he was not having much luck. He asked Julie to compile a list of organizations with contact centres in the Pacific Northwest along with contact details for his consultants.

This measure enabled John’s consultants to make those sales calls straight away rather than wasting valuable time researching online.

John is also currently looking at Business Virtual Assist providing support in regards to providing a regular industry synopsis for his consultants to provide talking points with their clients as well as exploring how Business Virtual Assist can upload job roles to industry job sites on Johns behalf, again saving him and his consultants time, enabling them to focus on increasing sales and driving the business forward.
